How to join a MS Teams meeting
Step 1 | This is the Teams meeting invitation sending to your email. To join the meeting, please click on the link "Join Microsoft Teams Meeting". |
Step 2 | To join a Teams meeting, here are 3 options you can choose from:
Participants are recommended to choose option 2 for convenience if you don't have the Microsoft Teams app in your device. Choose option 1 if you plan to use MS Teams app in the future frequently and the Teams app hasn't been installed locally. Choose option 3 if you have the app downloaded already. |
Identifying yourself | When prompted to enter your name, enter first the name the delegation you represent, followed by your first name and family name, as follows:

During a MS Teams Meeting

Useful Functions | At the bottom of your screen, there is a function bar with the following icons: “Camera”, “Microphone”, “Share”, “More actions”, “Conversation”, “Participants” and “Hang up”. CameraThe above icon indicates that the camera is off. Turn on your camera by clicking on this icon if you want to show your face to other meeting participants. MicrophoneThe microphone is off. Unmute yourself by clicking on the microphone icon when you are presenting. To minimize background noise during the meeting, mute yourself when you are not speaking. ShareTo share your screen or files, click on the share icon. The contents that can be shared include “Desktop”, “Window”, “PowerPoint”, “Whiteboard” and other current opening files. The “Browse” option under share enables you to share files through 1) Teams and Channels, 2) OneDrive, and 3) Local Device. More ActionsSelect “show meeting notes” to take notes. ConversationDuring the meeting, you can send messages to the participants by opening the conversation window. ParticipantsLooking for a list of participants? Click on the participants icon to see who are in the meeting. By hovering the mouse over the participant's name, you can send private messages to the participant in the chat box. Hang upTo leave the meeting, click on the “hang up” button. |
